How to Plan a Successful Rollout for Proxxi Contact

Congratulations! You have chosen to proceed with Proxxi Contact in your organization. We are so excited to have you begin deployment. Likely you have already scheduled or completed an onboarding meeting, but we wanted to review some of the important decisions and next steps you need to make that go beyond knowing how to use Proxxi Contact and into how to successfully use it within your organization.

Planning for Wristband Assignment

One of the most important tasks in deploying the wristbands is assigning and distributing the wristbands to the wearers. To ensure that everything happens when you need it to, we recommend ensuring you have enough people and time dedicated to the process. Anyone in your organization can assist with the assignment process, as they do not require any special credentials to sign into the “Wristband Assignment” section of the mobile app (aside from a work email address). This means that you can ask administrators, IT team members, or other folks in your organization to assist with the process. 

Proxxi Tip: Don’t forget to put the wristbands to sleep or on charge when not actively assigning or handing them out!
This will cut down on the amount of contact events being recorded while the wristbands are not actually being worn.

Creating a Rhythm for Data Syncing 

As you know the wristbands record and store the contact event data created when wristbands interact. Before this data is available for Dashboard Managers to review via the Proxxi Contact Dashboard, the wristbands must be synced using the iOS mobile app. Once your wearers begin using the wristbands, you will likely want to develop an expectation for how frequently the wristbands should be synced, and making sure the people responsible for data syncing have access to the tools to do so. 

Using our mobile app you can sync data for individual wristbands or to perform batch syncing, and it can take place while the wristbands are in use or while they are on charge. As the mobile app can sync any wristbands within Bluetooth range, anyone in your organization can sync any wristband. Some organizations have opted to ask wearers to download the mobile app to their iOS device and sync their own data. Some are providing a device in a centralized location for employees to use when they walk by. Other organizations are designating an administrator to sync wristbands while they are on charge after shift. The process you choose should be one that fits well within your organization’s existing rhythms. 

Wristbands don’t have to be synced daily or weekly (they will hold data for approximately 30 days), however the main benefit of syncing the wristbands regularly is that your Proxxi Contact Dashboard will be more up to date in the event of contact tracing being required.

Having a Plan for Updating Firmware

Firmware updates are not going to be required with any level of regularity - we know they can take some time to complete, especially if your organization has a large number of wristbands! However we will be occasionally providing firmware updates in order to improve wristband functionality and to add features. Like data syncing, firmware updates can be performed on any wristband within Bluetooth range using the mobile app, so you can ask people to update their own firmware or have someone responsible for updating others’ firmware. Wristband firmware can be updated individually. We are also working on adding an option to our app to perform batch updates, though all wristbands will be required to be on charge to successfully complete the process. 

Deciding in advance how you are going to ensure that all of the wristbands in your organization are going to be updated will mean that you can ensure wristband firmware gets updated more quickly when updates are available. 

Deciding How to Charge Wristbands

Ensuring the wristbands are charged up for the start of each day is a very important aspect of usage to consider. Some organizations are opting to ask team members to take the wristbands home and bring them back each day. Others are asking wearers to charge them at their work station, or providing charging banks in centralized areas so wristbands can be plugged in as wearers leave for the day.

If charging in bulk it is important to ensure the wearer gets the correct wristband the next day. In order to do so, some organizations are labelling the wristbands, and others are opting to label the charging port. Whichever direction your organization chooses, make sure your wearers understand the importance of using the same wristband (the one assigned to them) each day!

Ensuring the Right People Have Access to the Dashboard

The Proxxi Contact Dashboard is the place you will be able to review the synced contact data from the wristbands. You will also be able to view identifying data about wristbands and wearers from the dashboard. The Dashboard Managers will also be the ones able to perform contact tracing. As such, you will want to ensure the person/people who are Dashboard Managers have the authority to access this kind of information, and also that they have the capacity to perform contact tracing in times of need. 

You are able to set up as many Dashboard Managers as you wish, and you are also able to add additional Dashboard Managers at any time. We recommend having more than one Dashboard Manager in order to ensure you are able to perform contact tracing even if one of your Dashboard Managers is out of office.
